Commercial Kitchen Equipment Installation and Commissioning Guide 2026: Site Readiness, Connections, Testing and Handover
The container clears customs, the crates come off the truck, and the kitchen still does not serve food for another three weeks. Nothing in those crates is faulty. What went wrong happened months earlier, when nobody wrote down who was responsible for the 400 mm of pipe between the wall and the appliance.
Installation and commissioning is the least-specified phase of almost every imported commercial kitchen project. Equipment gets a detailed schedule with models, dimensions and prices. The work of getting that equipment level, connected, tested and signed off gets one line in the contract, and that line is usually ambiguous. This guide sets out what has to be ready before the container arrives, what each connection actually requires, what a real commissioning test looks like, and what should be in your hands at handover.
Who actually installs commercial kitchen equipment on an export project?
On a factory-supplied project the work is split across four parties, and the gaps between them are where schedules are lost:
- The equipment factory builds to the approved drawings, applies the correct voltage and gas configuration, packs for sea freight and supplies technical documentation. Under FOB or CIF terms its physical scope ends at the port of loading or discharge.
- The MEP contractor brings services to the kitchen: distribution boards, isolators, water stop valves, gas points, floor gullies and extract ductwork, terminated at agreed positions.
- The kitchen installer uncrates, positions, levels, joins, seals and makes the final connections between the terminated service and the appliance.
- The statutory inspector or licensed trade certifies gas soundness and electrical work. In most markets this cannot be done by a foreign supplier’s engineer, no matter how competent.
Ask two questions before signing anything. First: at what physical point does each party’s scope stop? Second: who holds the programme if the site is late? A supplier who ships on schedule into an unfinished building has met its obligation and will invoice for storage. Choosing a supplier that will send a supervision engineer, answer drawing queries during fit-out and hold spares against a commissioning date is worth more than a small unit-price saving. What site conditions must be ready before the container arrives?
Delivery should be triggered by site readiness, not by the shipping schedule. Six conditions decide whether a crate can be opened on arrival:
- Access route. Measure the narrowest point on the path from the unloading bay to the final position, not the kitchen door. A 10-tray combi oven on a stand needs roughly 1,100 x 850 mm clear plus handling space; a walk-in cold room panel is typically 2,400 mm long. Lift capacity of 500 kg and a 1,100 mm lift door defeats a great many kitchen schedules.
- Floor. Finished, cured and flat to within about 3 mm over a 2 m straightedge. Screeds poured after equipment arrives cannot be corrected later.
- Drainage. Floor gullies and channels cast in the correct positions with a fall of roughly 1:80 to 1:100. Moving a gully after the slab is poured is the single most expensive site change on a kitchen fit-out.
- Services terminated and capped. Isolators, stop valves and gas points live, labelled and within reach of their appliance.
- Building envelope closed. Ceilings, wall cladding and painting complete. Stainless steel delivered into a wet, dusty shell picks up damage that no one can attribute at handover.
- Cold room slab and drainage insulated and prepared, with condensing unit location, power and condensate route agreed.
Photograph the space against the approved layout a fortnight before the estimated arrival. Two weeks of warning is usually enough to redirect a container to bonded storage; two days is not.
What does each connection actually require?
Electrical. Every fixed appliance needs a means of isolation within sight, conventionally about 2 m, rated for the appliance load, with an IP rating suited to a wash-down environment. Three-phase equipment must have phase rotation verified before it runs: refrigeration compressors and extract fans will turn backwards on reversed phases and can be damaged in minutes. Water. Combi ovens, dishwashers and ice machines typically take a 3/4″ BSP supply at 2–4 bar dynamic pressure. Hardness above roughly 70 ppm as CaCO3 will scale a steam generator within a season, and treatment must be sized and installed before the first hot run, not retrofitted after a boiler fails — see our commercial kitchen water treatment guide.
Gas. Appliances need an isolation valve, a correctly rated flexible connection with a restraint chain, and injector sets matched to the actual gas family and supply pressure. Pressure must be measured at the appliance manifold with every burner lit, not at the meter with the kitchen idle; the sizing logic is covered in our commercial kitchen gas supply guide.
Drainage. Appliance waste discharges to an open tundish or air gap, never a direct connection into the drain. Dishwasher and combi drains carry water above 60 °C, so pipework must be rated accordingly.
Extract and make-up air. Hoods are balanced, not simply switched on. Make-up air is normally supplied at around 80–85% of extract volume so the kitchen sits slightly negative against the dining room. Capture velocity at the canopy face is typically checked in the 0.25–0.5 m/s range. A hood that extracts correctly with the doors open and fails with them closed is an air balance problem, not a fan problem.
How is heavy equipment positioned and levelled?
Install from the deepest point outwards: cold rooms and their panels first, then the cook line and its ventilation, then refrigeration, then the light preparation and service equipment. Reversing the sequence means carrying panels over finished worktops.
Levelling is not cosmetic. Adjustable feet give roughly 30–50 mm of travel and should bring each appliance to within about 2 mm per metre. A combi oven that is out of level will not drain its chamber; a fryer that is out of level reads the wrong oil depth at the element; a bank of ranges that is out of level shows a visible line along the front edge that the client will notice at handover.
Hot equipment needs a documented clearance to combustible surfaces and, in practice, a gap of about 50 mm behind the appliance for services. Sealed joints between adjacent units and a continuous silicone bead to the wall keep the line cleanable. This is where fabrication accuracy pays back: when tabling, sinks and infill panels are manufactured to the approved shop drawings with the client’s actual wall dimensions, connection cut-outs and upstand heights, the crew is fitting rather than cutting. Site-modified stainless steel never looks like factory work, and every hour spent on an angle grinder in a finished kitchen is an hour of dust in someone else’s trade.
What does commissioning actually test?
Commissioning is a sequence of cold checks followed by a loaded hot run, and it should produce a signed document.
- Cold electrical checks: earth continuity, insulation resistance, correct protective device rating, phase rotation on all three-phase loads.
- Gas soundness: a pressure-drop test on the installation pipework, then working pressure at each appliance manifold with all burners firing, and a combustion check where local practice requires it.
- Water: dynamic pressure and flow at each outlet, plus a hardness reading recorded on the commissioning sheet as the baseline for warranty on steam-generating equipment.
- Hot run: combi ovens taken through a full cycle to 250 °C and a steam cycle, dishwashers verified at approximately 55–60 °C wash and 82–85 °C rinse, fryers brought to setpoint and checked for thermostat overshoot.
- Refrigeration pull-down: cabinets and cold rooms run empty to setpoint, then loaded and checked again, with ambient temperature recorded — a pull-down that passes in an air-conditioned commissioning week can fail in service.
- Ventilation: airflow measured at the canopy, fan speeds set, interlocks proven so that gas is inhibited when extract is not running.
Budget a continuous run of at least four to eight hours, and insist on a wet commissioning using the client’s own menu on the day before opening. Equipment that passes an empty test can still fail a service.
How long does installation and handover take?
- 80–120 cover restaurant: 5–8 working days installation, 1–2 days commissioning.
- 300 cover hotel kitchen with banqueting: 3–5 weeks installation, 3–5 days commissioning and staff training.
- Central production kitchen: 6–10 weeks, usually phased by zone.
Snags should be graded so that opening is not held hostage by cosmetics: A items prevent safe operation and must close before handover, B items are functional defects with an agreed date, C items are finish and cosmetic points. Agree in writing that the warranty period runs from commissioning sign-off rather than from the bill of lading date. What should you receive at handover?
The handover pack is the difference between a kitchen you can maintain and one that becomes a series of emergencies. It should contain operation and maintenance manuals in the working language of the site, as-installed wiring diagrams, gas conversion data and injector sizes fitted, photographs of every data plate, declarations of conformity and test reports, a signed commissioning record with the measured values above, and a parts list with manufacturer part numbers rather than generic descriptions.
Ship a commissioning spares kit in the same container: door gaskets, thermostats and probes, contactors, a spare injector set per burner family, castors, fuses and drive belts. For a mid-sized hotel kitchen this is typically USD 150–600 FOB and it removes the six-week air-freight problem that otherwise arrives in month four. How much do installation and commissioning cost?
As a planning figure, local mechanical and electrical work plus installation labour runs at roughly 8–15% of the equipment value in most urban markets, and 15–25% on island or remote sites where labour and access dominate. A supervision engineer from the factory is typically USD 180–350 per day plus flights and accommodation, for 7–14 days on a hotel-scale project. Against a six-figure equipment package, supervision is a rounding error compared with a delayed opening.
The larger saving is upstream. Custom fabrication built to approved drawings — correct wall lengths, service cut-outs, upstand heights and worktop levels — removes most site rework, and Grace does not charge tooling fees for non-standard sizes made to a client’s approved drawing. Frequently asked questions
Can the equipment supplier install the kitchen?
Rarely in full. Most markets require gas and electrical connections to be made or certified by a locally licensed trade. A supplier can supervise, direct the installation crew, commission the equipment and train staff, which is the practical arrangement on most export projects.
What happens if the site is not ready when the container arrives?
The container goes to bonded or commercial storage at the buyer’s cost, and demurrage begins after the free period at the port. Confirm site readiness against a photographic checklist two weeks before shipment and, where possible, agree a short deferral window with the supplier at order stage.
Does equipment need to be re-certified after installation?
The equipment itself is certified at manufacture. The installation is what gets inspected locally — gas soundness, electrical work, extract and fire suppression. Keep the manufacturer’s declarations of conformity and test reports on site for the inspector.
How long should commissioning take for a hotel kitchen?
Allow three to five days for a 300-cover hotel kitchen, covering cold checks, hot runs, refrigeration pull-down, ventilation balancing and staff training, with a wet commissioning on the client’s menu before opening.
When does the warranty period start?
Negotiate it to start at commissioning sign-off. Suppliers commonly default to the bill of lading date, which can consume several months of cover while equipment sits in storage.
