Pre-Shipment Inspection for Commercial Kitchen Equipment 2026: Factory Audit, Third-Party QC, AQL Sampling and the Checklist That Catches Real Problems

There is exactly one moment in a kitchen equipment order when you still hold the money and the supplier still holds the goods. It lasts a few days, somewhere between “production finished” and “balance payable against copy of bill of lading.” Everything you failed to verify before that moment becomes, after it, a warranty claim argued across eight time zones about a machine already bolted to a floor 10,000 km away.

Pre-shipment inspection is how you use that moment — and doing it properly on capital equipment looks nothing like the standard consumer-goods playbook most inspection agencies will quote you.

The four inspection points — and the two most buyers skip

Kitchen equipment orders have four natural checkpoints. Most buyers use only the third.

  • Factory audit, before the order. Verifies the supplier actually manufactures what it sells: welding bays, brake presses, a test bench, an in-house QC function, and a management system certificate you can check against the issuing body’s register rather than a PDF.
  • During-production inspection (DUPRO), at roughly 20–50 % completion. This is the checkpoint that saves projects. Steel gauge, weld quality and cabinet dimensions can still be corrected at 30 % build. At 100 %, correcting them means remaking the units.
  • Pre-shipment inspection (PSI), when 100 % of goods are produced and at least 80 % packed. Quantity, workmanship, function, dimensions, markings and packing.
  • Container loading supervision, on stuffing day. Verifies the right cartons in the right quantities go into the right container, with photographs of the loading sequence and the sealed door with the seal number legible.

DUPRO is the one to add if you add only one. Stainless fabrication defects are structural — a cabinet built from 0.8 mm where you specified 1.2 mm cannot be fixed at the end, only rebuilt.

Why AQL sampling is usually the wrong default here

Almost every inspection quote you receive will propose an AQL plan under ISO 2859-1 — typically General Inspection Level II, normal severity, with limits of 0 critical / 2.5 major / 4.0 minor. That framework was built for consumer goods shipped in tens of thousands. Your order is 40 machines worth USD 800 each.

At those lot sizes the plan collapses into near-meaninglessness. A lot of 26–50 units draws a sample of 8; at AQL 2.5 the acceptance number is zero, so the plan is really “check eight and accept none.” Meanwhile 42 unexamined machines ship. For capital equipment the correct instruction is different and simple: 100 % functional test on every major powered unit, AQL sampling only on high-count low-value items.

What the inspector should actually check

Generic inspection checklists are written for garments and electronics. Hand your provider a category-specific scope or you will get photographs of cartons and a pass. Insist on:

  • Material and gauge. Grade verified with a portable analyser or magnet test plus mill certificate reference — 304 versus 201 is the most common substitution and is invisible to the eye. Sheet thickness measured with a gauge, not estimated.
  • Welds and finish. Continuous welds where specified, ground and polished, no burn-through, no sharp edges on hand-access areas, coved internal corners where the spec calls for them.
  • Electrical. Insulation resistance and earth continuity test on every powered unit; supply voltage, frequency and phase matching the order; correct plug type fitted, not a generic one; cable gland present; component brands matching the approved component list.
  • Gas. Leak test at working pressure, injector size matching the declared gas family, flame supervision device present and proven by extinguishing the flame, regulator supplied if the order says so.
  • Refrigeration. Pull-down test to set point with time recorded, ambient temperature at the time of test noted, refrigerant type and charge matching the nameplate, compressor climate class as ordered.
  • Dimensions. Every custom fabricated item measured against the approved shop drawing — the single most common cause of site rework.
  • Nameplate and markings. Model, serial, voltage, frequency, power, gas type and pressure, manufacturer name and address, and the conformity marks the destination requires.
  • Packing. Corner protection, film on all polished surfaces, pallet or skid under heavy units, shock indicators on refrigeration, carton markings matching the packing list.

Ask for the report to include serial-numbered photographs and the test readings themselves — pull-down curve, insulation resistance value, measured thickness — not just “OK” ticks. A report of ticks is not evidence and will not support a claim.

Nameplate alignment: where inspection quietly saves you at customs

One check pays for the whole inspection more often than any other: confirming that the model designation on the nameplate, on the packing list, on the commercial invoice and on the bill of lading are character-for-character identical, and that the nameplate photographed at the factory is the one physically fitted.

Model-name mismatch is the most common trigger for a customs query, and a queried container burns demurrage and storage while it waits. It is also the cheapest defect in the world to fix — before the container is sealed. Afterwards, it costs weeks. The same applies to conformity marks: an inspector who photographs each nameplate gives you documentary proof that the CE, EAC, SASO or other mark your market requires was physically present at shipment. What inspection costs in 2026 and who to book

Third-party inspection is priced by inspector-day (man-day). Published 2026 ranges for China put the major international bodies — SGS, Bureau Veritas, Intertek — in the region of USD 290–600 per man-day, with regional and specialist providers typically lower. Published universal rate cards are uncommon, because city, travel, scope and volume all move the number.

The trap is comparing quotes that assume different day counts. A one-man-day quote is not cheaper than a two-man-day quote if your order needs two days — it just means half your goods will not be looked at. Fix the scope first (SKU count, sample size or 100 % test instruction, which functional tests, report format), then compare like for like.

Budget one man-day per roughly 200–400 units of small equipment, or per 20–40 major powered machines where 100 % function testing is required. For a typical USD 60,000 hotel kitchen order, one to two man-days of PSI plus one loading supervision day is proportionate.

Booking your own inspection versus inspecting at the factory

There is a structural difference between suppliers here that is worth understanding before you sign. If your counterparty manufactures, you can inspect during production, on the line, at 30 % build, and defects get corrected in-process. If your counterparty is a trading company aggregating from several plants, during-production inspection is effectively unavailable — the goods are in third-party workshops the trader does not control, and what you will be offered instead is a finished-goods check in a consolidation warehouse, after the point where anything structural can be changed.

Writing inspection into the contract

An inspection with no contractual consequence is a photo album. Six clauses give it force:

  • Payment trigger. Balance payable against a passed inspection report, not merely against shipping documents. This is the clause that matters most; the mechanics of structuring it are in our guide to payment terms for kitchen equipment imports.
  • Named standard and scope. The inspection standard, AQL levels where applicable, and the 100 % test list, attached as an annex.
  • Notice period. Supplier to give 7–10 days’ written notice of goods-ready so the inspection can be booked.
  • Re-inspection cost. First inspection at buyer’s cost; any re-inspection following a fail at supplier’s cost. This single sentence changes supplier behaviour more than any other.
  • Approved drawings and component list. Referenced as contract documents, so “not as approved drawing” is a contractual failure rather than a matter of opinion.
  • Loading supervision. Buyer’s right to attend or appoint an agent at stuffing, with the seal number photographed.

Frequently asked questions

Is a pre-shipment inspection worth it on a small order?

Below about USD 10,000 the man-day cost becomes a meaningful percentage, and a supplier-provided video test with serial-numbered photographs may be proportionate. Above USD 20,000, or on any order containing custom fabrication or refrigeration, a professional inspection is cheap insurance — one wrongly built cold room costs more than a decade of inspection fees.

Can I rely on the supplier’s own QC report?

Use it, but do not rely on it alone. A factory QC report is useful evidence that an internal process exists and is worth requesting with test readings attached. It is not independent, and it will not carry the same weight if you later need to argue a claim or trigger a payment clause.

What happens if the inspection fails?

The supplier corrects the defects and a re-inspection is performed, at the supplier’s cost if your contract says so. Build the possibility into the schedule: assume a failed inspection adds 7–14 days. Never accept a “ship now, fix later” offer on equipment leaving your jurisdiction, because your leverage disappears the moment the container sails.

Should I attend the inspection myself?

If you can, yes — particularly the during-production visit, where seeing the fabrication process tells you more about the supplier than any report. Where travel is not practical, a third-party inspector with a written category-specific scope is the effective substitute. A live video walk-through is a useful supplement but a poor replacement, because the camera only shows what someone points it at.

How far in advance should I book?

Book the inspection agency 7–10 working days before the goods-ready date, and agree the goods-ready notice obligation in the contract at order stage. Inspection slots in peak export season are genuinely scarce, and a late booking is how inspections get skipped.
